The Office Manager at Vault will be responsible for overseeing the day-to-day operations of the office, ensuring that all administrative tasks are completed efficiently and effectively. This role requires excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced environment. The Office Manager will be in the St. Pete office 5 days/week.

Job Responsibilities: 

  • Coordinate all St. Petersburg office events & meetings; including scheduling/room reservations, ordering food, and set up.
  • Negotiate terms and pricing agreements for local hotels/partnerships.
  • Coordinate executives air travel and hotel stays, as needed.
  • Manage all claims mail and administrative work.
  • Record keeping of all internal licensing & CE requirements.
  • Manage all office maintenance procedures & issues in conjunction with the COO, including but not limited to: daily maintenance of suite space/cleanliness/deliveries/kitchen replenishment.
  • Provide support for all company employees and executives when needed for travel, meeting requests, or general inquiries.
  • Maintain inventory for office and break room supplies.
  • Communicate and coordinate with building maintenance and parking garage management.
  • Assist new hires and visitors with directions on how to navigate our building, parking, and surrounding area.
  • Process St. Petersburg executives expense reports, monthly.
  • Process office invoices to AP for payment, monthly.
  • Coordinate or assist to coordinating off-sites and other company events.
  • Manage & appropriately distribute all incoming mail.

 

Requirements: 

  • Bachelor's degree in Business Administration or related field
  • Minimum of 3 years of experience in office management or administrative roles
  • Strong organizational and time management skills
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint
  • Ability to multitask and prioritize tasks in a fast-paced environment
  • Strong problem-solving skills and attention to detail
 
 
Preferred Qualifications:
  • Experience with Outlook, Canva, WorkDay
